CASA GRANDE
Present: Chuck Schmidt, Ted Miller, Joni Pabst, Joe Paddock, Bill Gahn, John Carlson, Dr.
Slemmer, Sister Lynn Winsor, George Allen, Rick Johnson, Cindy Riley, Ian Moses, Carolyn
Wuertz, Doug Meyer, Rich Polley, Willis Haws.
1. Call to Order: John Carlson called the meeting to order at 10:00 am.
2. Approval of Minutes: Ted Miller moved to accept the minutes as emailed. Joni Pabst
seconded. Motion Passed.
3. Treasurer’s Report-Joni Pabst-Joni reported deposits since 4/20 of $32,015. Expenses
were $8782.18. Joni reported she had rented a mini storage for $39/month. She also
purchased a new laptop and table top copier for the organization. Balance today is
$31,455.92. Joni had a rough estimate of 170 registrants for the conference. The NIAAA
membership will cost us $10,200 for our membership dues. The coaching ed class will cost
$7650.00. Conference expenses will be about $25,000. Ian Moses moved to accept the
treasurer’s report; Rich Polley seconded. Motion Passed.
4.
Executive Director’s Report-Carolyn Wuertz
•
Thank you to Sister Lynn for proofing the programs while Carolyn was on vacation.
•
Carolyn will devise a continuing education sign in form for the conference so AD’s
can get continuing ed credits.
•
Carolyn has prepared the documents to get corporation status from the ACC. Cindy
Riley will be the additional signature on these forms.
•
Joni and Carolyn will meet with a CPA next Monday to see what we need to do in the
way of accounting and taxes for the AIAAA. Our constitution may need revising as
we are not really a 501c3 but rather a 501c6.
•
Carolyn thanked the AIAAA for the flowers sent in honor of her father’s memorial
service.
5.
NIAAA Liaison Report-Ted Miller
•
Ted reported that schools can partner with www.naspea.net to review the
information.
•
New office for NIAAA.
•
Donation of uniforms for schools in New Orleans has ended. Some sections were
gracious enough to donate used uniforms.
•
Conference registration— membership brochures are ready for our conference. Ted
will bring them to our conference for schools to complete.
•
Ted cannot attend this years conference but has the dvd of What is the NIAAA.
•
Nashville Dec 14-18 is the national conference. SW has a direct flight from Phoenix.
6.
AIA Executive Board Report-Rick Johnson
•
Rick has sent a letter to all new AD’s via the AIA minutes. He will continue this on a
regular basis.
•
The AIA is continuing to work on the Pursuing Victory With Honor program.
•
The AIA is very excited about the coaches’ education program that will be
implemented at the AIAAA conference. AD’s will be trained so they can go back to
their schools or districts and train their coaches.
•
Cindy McMannon had a nice article in the Athletic Management magazine. Also
there was a nice article in the NASBE.
•
The AIA has three new board members. They had a retreat and set some goals; will
do a 5 year plan and are also doing a survey on line to develop a strategic plan.
Hopefully this project will be completed by the legislative council meeting in March.
•
The website has become information central. It is one of the best places to find info
on hs sports in Arizona.
•
Dr. Slemmer will do an update on the AIA at the conference on Monday.
•
Power rankings are up and running. This will be going live the third week of
September. We still have a lot of passes in the office. Schools need to update their
information so they can get their AIA passes. Schools will have to report their scores.
•
There are three new AD workshops scheduled. Twenty five AD’s attended the first
one. The workshops are strategically located this year; three in Phx, one in Tucson,
and one in Flag. Thanks to Dr. Slemmer for structuring this with travel in mind.
7.
LTC Report-Chuck Schmidt
•
LTC courses are ready to go. Instructors have been confirmed.
•
CAA exam will be proctored by John Carlson. Three people have signed up to take
the CAA this fall.
•
Fundamentals of coaching—Dr. Treasure and Mr. Flannery will be here on Monday.
We will be conducting a trainer seminar next week to train people so they can be
trainers at the AIAAA.
8.
Awards Report-Cindy Riley
•
The last two years responsibility for contacting the Women’s Equity Award winner
has fallen on Cindy. This should be done by the Girl’s Equity committee. The winner
will be coming to the luncheon to be recognized.
•
Awards luncheon starts at 11:45 on Monday. We talked last year about putting
honorees in a special room to wait for the start of the luncheon. Right now we plan to
use the Granite Mt. Room for them to wait. Take your guests to this room. The region
reps will be responsible for making sure the winners get to this room.
•
Hall of Fame winners get 5 guests. Other winners get one guest. Additional guests
need to pay $25 for extra meals.
•
At the board meeting on Tuesday, Cindy will distribute nomination forms for awards
for next year.
9.
Hall of Fame Report-Rick Johnson
•
Everything will be on disc from now on. All the award winners will be on there.
•
We will be doing a presentation about our 25
th
anniversary.
•
Rich has bios for all the winners; a script will be given to George to follow for the
luncheon.
•
These will become a record of our history.
10.
Sponsorship Report-Sister Lynn Winsor
•
Many thanks again to Chuck for getting us the $5000 sponsorship from Farmer’s
Insurance.
•
We reviewed other sponsorship monies.
11.
Vendor Report-Doug Meyer
•
People did a good job of recruiters. Our current vendors are our best recruiters. We
have 36 vendors which results in 40 tables. Our vendor room cannot hold any more.
We will profit about $10,000.
•
We have quite a few new people like track and field builders. Joni needs the room
layout soon.
•

Region Reports
•
5A Report-Bill Gahn-had our meeting at UA in Tucson. Saw the artificial turf layout.
Enjoyed going to Tucson.
•
4A-Joe Paddock-No report
•
3A-On board with the Power Points. 3A schools have had some difficulty in getting
rooms for the conference at Prescott Resort. We may need to increase the block of
rooms we reserve. We only block 115 rooms at this point.
•
2A- No representative-Doug reported there are many new AD’s. The veteran AD’s
are in their second year! The 2A is experiencing growth pains.
•
1A-Rich Polley-The 1A also has many new ad’s but are attempting to set up a
mentoring program for new ad’s.
13.
Old Business-
•
Room reservations-Joni reviewed rooms reserved for various board members.
•
Joe Paddock was able to get insurance for the conference through Haslett &
Associates. We have $1 million of liability coverage purchased for $344.69.
Thanks Joe for arranging that.
14. New Business-All board members who can help stuff packets need to meet in Joni’s
room at 4 pm on Saturday prior to the conference.
15. Adjournment-Ian Moses moved to adjourn; Cindy Riley seconded. Motion passed.

Meeting Dates for 2007-08—All meetings in Casa Grande will be held at the Creative Café at
the corner of Trekell and McMurray at 10 am. Other meetings are at the AIA office.
